Here you will find most of the settings regarding recruitment and advertising that apply to the entire account. You reach the page by clicking on "Admin" - "Account information" - "Other".
Assignment rights
These fields are only displayed if you use access per case or work group (applies to volume recruitment). If you have not structured your access groups this way, the choice will not be visible.
Here you can choose which role (access group per case/workgroup) should be assigned automatically to the users who are added to the recruitment group.
At the top you have "Automatically assign access for users who create cases" - that is, which role the person who creates the case should be assigned to.
It is important that you have selected a role for "Automatically assign access for users who create cases" due to the fact that the user who creates the case cannot assign / change their own role.
You then have the option to select both "Automatically assign access to responsible recruiter if different from creator" and
"Automatically assign access to group members in the assignement" (meaning everyone else in the recruitment group in addition to the creator and responsible recruiter).
If you use Volume Recruitment and have created roles for workgroups, you will also see the option "Automatically assign access to users creating work groups" and “Automatically assign access to the case for those added to work groups”. Here you can specify a certain role that should be automatically assigned to users who are added to your workgroups and to the users that create a work group.
General settings
Hide "Test map link" in interview scheduler
If you check this box, the "Test map link" button will be hidden in the interview scheduler/Interview overview.
Add "Other" as the type of employment
If you activate this setting, "Other" will be added as the employment type when you create a case.
Hide checkbox if candidate is currently employed (internal)
By default, there is a checkbox in all application forms that the candidate can choose to tick (when the candidate is applying with an account). Next to the button is the text “I am currently employed by {Employer}.
If you choose to hide this box, the checkbox will disappear from your application form. You will also not receive any statistics regarding internal / external candidates as you no longer collect this information.
Require complete recruitment process
If you require a complete recruitment process, you will always need to mark at least one candidate as an employee (through an employment event) before you can end the recruitment with the reason "The recruitment need is met".
Export format
Word
Here you choose which format the export of files to text editing programs should have. You can choose between docx and rtf.
We recommend that you use "docx".
Excel
Here you choose which format the export of files to spreadsheet programs should have. You can choose between xslx and xls.
We recommend that you use "xlsx".
Do not allow withdrawal of the application after the end of the application period
By default, candidates can withdraw their application until recruitment closes. You can check this box if you only want the candidate to be able to withdraw their application when the advertisement is still active, and not after.
Send notification emails to users when the application period expires
This setting automatically sends out a notification email when the application period for a service has expired. The email is sent to the responsible recruiter and members of the recruitment team. The email states that the application period has passed, along with information about the number of applications received and who is listed as the responsible recruiter for the position.
Personal selection grading
Here you can choose to use "Personal selection grading". This means that each user (who is authorised to grade candidates) gets the opportunity to set their own grading per candidate, instead of the common one. In the application list, you will then see an average value of all grades that a candidate has received.
Enable to hide the categorization in ad
This setting adds a checkbox in the ad creator process, “Hide categorisation in ad”, next to the selection of occupational classification (on the Basic Data step). If you choose to check that box, your choice of occupational classification will be hidden in the advertisement on Public Jobs and in our Editor Templates (job listings that we created for you).
Hide manual password generation
If you choose to select "Hide manual password creation", the option to add a manual password when administering users disappears. Users can then only get a new password via the automatic password function.
Hide button: "Visible only to me" in notes
This setting hides the button "Visible only to me" when you create memory notes (if you do not have the module to create memory notes, this option will not be visible).
Hide fields about the referee's personal data
If you activate this setting, it means that the referee's personal data will not appear in your recruitments. You only see information about title, position, etc.
Delete answers to interview and reference questions at the end
This means that all answers under "Interview notes" as well as all interview answers and the comment field under the tab "References" in the candidate sheet are deleted when the recruitment ends. Only personal information will be saved (name, company, title, phone number, email address and date).
Reference comments added by candidates who applied with an account will not be removed. This only applies to applications without an account.
Show quote on homepage (in English)
If you do not want the quotes on the start page to be visible to your users, you can remove them through this setting.
Ad copy
Enable the send ad copy field in the ad creator process
This setting adds a checkbox "Send ad to email on publication" in connection with the ad creator process at the "Basic data" step. The email to the specified email is only sent out once - ie. when the ad is published for the first time.
Email recipient of the ad copy
If you have a specific email address you always want to send ad copy to, you can enter the email address in this field. The email address will automatically be added to the field during the ad creation process.
Lock added e-mail recipients
If you activate this setting, the email address in the previous step will be locked and cannot be removed when you create the ad.
Preselect that the dispatch should take place
If you want the checkbox and the field "Send ad to email upon publication" to be automatically unlocked every time you create an ad, you can activate this setting.
Reference number
Lock reference number
Here you have the opportunity to choose whether you want to use a locked reference number. Locked reference number means that all advertisements receive a unique reference number that cannot be changed. To use the function, tick the box.
Generate reference numbers based on organization level
Via the field "Generate reference number based on organisation at level" you can choose to have the counter of advertisements for a certain organisational level. For example, if you want a unique counter per level two in the organization tree, you enter "2" in this field.
Reference number format
If you do not wish to use our automatic reference numbers, but instead want to design your own, you can do so here. You can design your own reference number by choosing between the following parameters:
%YEAR% - Current year is specified in the reference number.
%ADCOUNTER% - Counter per ad based on the department where the ad is placed (if nothing is specified in the "Generate reference number based on organization level" field). The counter is reset at New Year.
%INTERNALID% - Counter per ad based on the system, this counter is never reset.
You can use any of the following characters to separate the parameters: hyphen, period, slash or space.
Social security number
Require full social security number in the application
If you so wish, you have the option of demanding a complete social security number from your candidates. If you choose this option, the date of birth field will disappear from the candidate list and the application form. The field is instead replaced by a column for social security numbers.
For all applications / candidates received before you activated this, the field will be empty.
Flag if there is more than one candidate with the same social security number in a recruitment
The prerequisite for this setting is that "Require full social security number in the application" is activated.
If you want to receive a warning in the application list when several candidates enter the same social security number in the same recruitment, you can activate this setting. The warning is visible through a warning triangle next to the candidates' social security number.
Application Notification
Email recipient of the notifications
An email address field where you can enter an email address that should always receive a notification when a digital application has been received. If you do not enter an email address in this field, you can still enter email addresses when creating individual ads, at the "Application" step of the ad creation process.
Lock added email recipients
Check this box if you want to lock the field and not make it possible to specify recipients of notification when applying in the ad creator process. If you have entered an email address in the "E-mail recipient of the notifications" setting, this recipient will still receive the notifications.
Closure reminder
Activate closure reminder
If you want, you have the option here to set a reminder email to go out to the responsible recruiter that recruitments are to end.
First closure reminder (days)
Here you set when the first closure reminder should be sent out. The first reminder is calculated based on the application deadline.
Repeat closure reminder (days)
Here you choose how often the reminder email should be repeated. The repeated reminders are counted from the first reminder.
Custom email address (noreply)
Setting to customise the "noreply" email address sent to candidates.
The email address will have the format “[email protected]”
