There is an option in the system settings that, when enabled, requires you to provide feedback to all candidates before closing a recruitment case. This ensures that recruitment cases cannot be closed without informing applicants of the outcome.
Where to Find This Setting
Click on Admin in the main menu.
Go to Account data.
Click on the Other tab.
You will see a checkbox labeled "Require feedback to all candidates before closing".
How Does It Work?
When the setting is turned ON, here's what will happen when you try to close a recruitment case that still has candidates who haven't received feedback:
The usual first step in the closing process (where you could optionally give feedback) will be skipped.
βInstead, you will be taken directly to a page that shows you all the candidates in that recruitment.
βThe button to finalize the closing of the recruitment will be disabled.
You'll see a message at the top of the page that tells you how many candidates still need feedback. For example:
"You have [X] candidates who have not yet received definitive feedback in the recruitment process. You need to give feedback to all candidates before it is possible to close the recruitment."
To provide feedback, you will need to take a specific action for each candidate. You can choose from the following actions to indicate that feedback has been given:
βEmployee: If the candidate was hired.
Closed in recruitment: A general option for closing a candidate's application.
Rejection - e-mail: If the candidate was not selected and has been informed via email.
Withdraw application: If the candidate withdrew their application.
Important: Only after you have taken one of these actions for every candidate in the recruitment will the button to finalize the closing become active, and you will be able to close the recruitment.
So why is this important?
This new setting helps us ensure that all candidates receive timely and appropriate feedback on their application. This is crucial to:
Maintain a positive image as an employer.
Provide a good experience for everyone who applies for a job.
Keeping candidates informed about the status of their application.
