Send an additional questionnaire to a candidate

This is how you collect additional information about a candidate by sending them a "additional questionnaire".

Sometimes additional information from a candidate is required to make a decision on their application. This can be requested through the system in various ways!

What is required?

To be able to send out a supplementary questionnaire, you need to:

  • Have at least one questionnaire created of the kind "additional questionnaire".

  • Have an event set up to send them out.

  • You, as the user who will send out the questionnaire, need to have the access right to do so.

The event is generally already created on your account, but if it's missing, or you cannot use it because you lack the access right, contact an internal admin for help!

Sending out the questionnaire

Okay, now that you've ensured there's a questionnaire you want to use, there's an event for sending it to the candidate, and you have the right to do so, what's the next step?

  1. Go into the list of applications for the relevant case.

  2. Mark one or more candidates who you want to answer the supplementary questions in the questionnaire.

  3. Select the event from your list.

    1. The names vary depending on what you named it when creating the event.

  4. When you've chosen the event, a contact box will pop up where you get to choose which questionnaire to use (if you have several).

  5. Usually, you already have a contact template linked to the event, otherwise, you'll also choose that, or you can choose to write the message yourself!

Note! You cannot send a supplementary inquiry to applications that you or a colleague have manually entered into the system!

Parameters

When writing your own message, you can use parameters. A parameter fetches information from the system, partly so you don't have to manually input all the information, and you can send a message to multiple candidates at once without manually writing their details.

For example, the %FIRSTNAME% parameter fetches the first name of the candidate you want to send the message to, based on what the candidate has written in their application, and will always send an individual email to each candidate. This allows you to send personalized messages to several candidates simultaneously without any extra effort. Convenient, right? 😍

What's important to remember when writing your own message to the candidate for sending out a supplementary questionnaire is to include the parameter %QUESTIONNAIRELINK%. Without this parameter, the candidate will not be able to access the questionnaire!

Responses to the questionnaire

The candidate will then receive an email with a link to access the questionnaire and answer the questions you've sent. Once the candidate completes and submits their responses, these will appear in their application, and the candidate will receive the status "Questionnaire answered"
