Here we describe how you can easily send and manage messages directly from the system.

Contact Candidates via SMS

To send an SMS to a candidate, three conditions must be met:

  • Candidate's mobile number - Must be registered in the candidate's application.

  • User rights - The user sending the message needs to have the "Recruitment - SMS" permission, found under the "Candidate Management" category.

  • Available credits - Ensure there are enough credits in the account by checking under Admin/Edit main organization on the "Credits" tab.

When you want to send an SMS to a candidate, navigate to the relevant case. There, select the candidate you wish to contact. In the submenu, there is an option called "Contact", click on it, and then select "Contact candidate". In the contact window that opens, choose SMS as the contact type.

Note that each SMS can contain a maximum of 160 characters; more characters result in multiple SMS and more credits used.

When SMS is activated on the account, recruiters can choose between sending SMS or Email to contact a candidate. Please note that rejections, for example, cannot be sent as SMS.

Interview Invitations via SMS

When booking interviews, you can send invitations as SMS to candidates. Make sure to include a link in the message, by adding the correct parameter, so that the candidate can easily confirm or book a time, just like in email invitations. This link is important to ensure smooth and efficient communication with your candidates.

Communication Templates

In the organization tree, you can manage SMS templates in the same way as email templates under communication templates. It is helpful to clearly label which templates are for SMS, for example by adding this to the name in parentheses. This makes it easier for you to distinguish between the templates in the list when several templates, such as "Interview Invitation" exist.

Ordering Credits

If you cannot send an SMS, it may be because the credits are depleted in your account. If you have the right to see the "Credits" tab under Admin -> Organization, you can check the balance yourself. Otherwise, a colleague with that permission can do it for you.
