With language support in Talent Hire you can create ads, questionnaires, contact templates, events, application terms, classifications and access-groups in multiple languages. Candidates then see the right language throughout the recruitment – from the job list and the ad to the questionnaire and the messages they receive.
Note! Language support does not translate texts automatically. You add the text yourself in each language you want to use.
Which languages are supported?
Swedish
Norwegian
Danish
English
Dutch
Finnish
Three modules for language support
Language support consists of three modules – two for ads and one for questionnaires.
Module | What it does |
One language per ad | You choose which language the ad should have. Each ad has one language. |
Multiple languages per ad | You create one and the same ad in multiple languages. |
Questionnaires | You create questionnaires in multiple languages, so the candidate sees the questions in the same language as the ad. |
You can only have one of the ad modules on your account. Choose the one that suits you best.
The questionnaire module is needed if you advertise in languages other than the account's main language.
Want to activate language support? Contact your account manager, and we will help you find the right setup and activate the languages you need.
Good to know before you start
Ad classification. Each language has its own classification. Swedish ads are classified according to Platsbanken's categories. English and Dutch ads are classified according to Monster's categories. If you advertise in multiple languages, you may need to add one classification per language.
Publishing channels. Most channels are linked to a specific language. Which channels you can choose depends on the languages you have selected.
Contact templates. You always get contact templates in the account's main language. For other languages, you add the texts yourself.
Step 1: Translate the application terms
The application terms are the text candidates must accept when they submit their application. You find them under Admin > Account details > Application terms.
The default text is copied automatically to the languages you add. If you have changed the text, you also need to update it in the new languages, so the terms are the same in all languages.
Select a language in the list and click Add support for selected language. Add one language at a time.
Click the blue icon for the new language.
Update the text.
Click Save.
Repeat steps 2-4 for each language.
Step 2: Translate the classifications
Under Admin > Account details > Classifications, you can translate the account's classifications, for example selection ranking, interview types and termination causes. You translate one option at a time.
Click the pen icon for the option.
Scroll down to the name field.
Select a language in the list and click Add language.
Click the green icon for the new language.
Update the name and click Save.
Repeat steps 3-5 for each language and steps 1-5 for each option.
Step 3: Add languages to the organisation
Language support applies per organisation unit and is not inherited. Follow these steps for each unit that will use more languages.
Go to Admin > Organisation.
Click the pen icon for the unit you want to edit.
Select a language in the list and click Add support for selected language. Add one language at a time.
The language now appears under Added languages.
The language you are currently working in is shown in the heading (for example “…in Swedish”) and has no icons in the list of added languages. Next to the other languages, there is a green icon for switching to the language and a trash icon for removing it.
Step 4: Translate the contact templates
Both ad modules require the contact templates to exist in all the languages you use. You do this once per language.
Click the green icon for the new language.
Go to the Candidate contact tab.
Open the Candidate contact templates list and select a template. The fields are empty because the template does not yet exist in the selected language.
Fill in the title, heading and message.
Click Save
Repeat steps 3-5 for all templates.
Want to use Visma's standard texts? You always get a set of contact templates in the account's default language.
If you want Visma's ready-made standard messages in the new languages as well, we can help you copy them in. Contact your account manager. If you have adapted your own texts, you need to translate them yourselves.
Step 5: Translate events, statuses and headings
With language support for ads, you can also add events, statuses and event headings in multiple languages.
Click the green icon for the new language.
Go to the Events and automations tab.
Edit each event, fill in the name and click Save.
Click the button for Statuses or Event headings (one at a time).
Edit each status or heading, add the name in the missing language and click Save.
Step 6: Translate the access-groups
You can translate the name and description of each access-group into the languages you use. It is particularly useful to translate the roles (permission per case) that recruiters see when they create cases, in the Case details step.
Click the pen icon for the access-group.
Click the tab for a language.
Fill in the name and description in that language.
Click Save when all languages are filled in.
Repeat steps 1-4 for all access-groups.
Step 7: Review the processes
Processes (Admin > Recruitment > Case setup processes) do not have language support.
If you only have one process, it is selected automatically. The name and description are not shown to the user, so you do not need to do anything.
If you have multiple processes, it may be worth reviewing their names and descriptions.
Tip! Do you have multiple processes and only one department working in another language? Create separate processes in that language for that department. Give the users there access only to their own department, so they do not see the other processes.
Step 8: Create the ad
One language per ad
You select the ad's language from a list in the first step when you create the ad.
Multiple languages per ad
The ad is always created in the account's main language. This is how you add more languages:
Click More actions at the bottom and select Language support (multiple languages per ad).
Select the languages you want to use. You remove a language with the trash icon. If you only have one language, it cannot be removed.
The language you are working in is shown with its name and flag next to the heading Create ad/Edit ad.
Switch language with the buttons at the bottom left. Fill in all information in each language in each step.
Note! You cannot continue to the next step until all mandatory fields are filled in for all selected languages.
In the view mode of the ad, you can also switch between the languages.
Step 9: Add languages to the questionnaire
The questionnaire needs to exist in the same languages as the ad. By default, it is created in the account's main language.
Questionnaire templates
When you create a questionnaire template, you find the language support at the bottom, in the same way as for ads.
Select languages and fill in the questions in each language. Switch language with the buttons at the bottom left.
Questionnaire in the ad
If the ad exists in multiple languages, the same languages are added to the questionnaire automatically.
If the questionnaire does not exist in all languages, you get a message when you save. Update the questionnaire so that it exists in all selected languages.
Step 10: Select the language for the job list
Each job list can only have one language. You select the language under Admin > Job lists: click the pen icon and select Primary language.
Do you use the VUD template as a job list? Then it is not enough to change the language in the job list. The list always shows the account's language, regardless of the setting. To show the list in another language, add &LocId= and the language code at the end of the link.
Language | Code |
Swedish | 1 |
English | 2 |
Danish | 15 |
Finnish | 17 |
Norwegian | 19 |
Dutch | 21 |
Example: If the job list should be shown in Finnish, add &LocId=17 at the end of the link to your job list.
Frequently asked questions
Is the ad translated automatically? No. You add the text yourself in each language.
Can we have both ad modules at the same time? No, you can only have one of them. The module for multiple languages per ad overrides the other.
Why can I not continue in the ad? A mandatory field is missing text in one of the selected languages. Switch language at the bottom and check all fields.
Why is the contact template empty when I switch language? The template does not yet exist in that language. Fill in the title, heading and message and click Save.
Why do I not see all publishing channels? The channels are linked to languages. Which ones you see depends on the ad's language.
Why is the job list shown in the wrong language? If you use the VUD template, the list always shows the account's language. Add &LocId= and the language code to the link (see step 10).
How do we get started? Contact us. We will go through which module suits you, which languages you need and how to prepare contact templates and questionnaires.
